Overview

The High Meadows Environmental Institute (HMEI) seeks applicants for the Grants Manager position. Reporting to the senior Grants Manager, the incumbent supports the Institute’s mission as an interdisciplinary center of excellence for environmental research, serving as a resource for HMEI faculty and associated faculty in multiple departments on pre-award and post-award administration of sponsored research projects. The Grants Manager works closely with the HMEI senior Grants Manager and maintains regular communications with the Office of Research and Project Administration (ORPA) and Sponsored Research Accounting (SRA), and numerous other points of contact across University academic and administrative units.

 

The  Grants Manager’s pre-award responsibilities include: timely coordination of the proposal process with ORPA, Principal Investigators( PIs), outside investigators, and other institutional, governmental, and non-governmental points of contact.  The incumbent will be expected to review and understand agency program announcements and submission requirements; review budgetary guidelines in accordance with sponsor proposal requirements and budget and justification development, and compile full proposal application packages for submission in University and sponsor information systems. Post-award responsibilities will include: award review and set up, budget and expense monitoring, allowability compliance and expenditure reconciliation and projections; financial records management, and subcontract administration.   

 

Responsibilities

Pre-award responsibilities:  

  • Prepare and submit proposals under the direction of the senior Grants Manager using Princeton ERA system.
  • Communicate regularly with faculty members, ORPA, outside PI’s and other institutional administrators, and governmental and non-governmental administrators to facilitate proposal preparation and submission procedures.
  • Prepare administrative proposal documents including information on budgets, budget justifications, senior personnel and other required documentation for each submission which may vary by sponsor.
  • Collate all pending proposal materials and maintain detailed files; route documents for review/approval via the internal proposal system (Princeton ERA) for submission to sponsor.
  • Upload proposal documents into sponsor-specific systems for submission. Systems include but are not limited to: NSF Fastlane/Research.gov, NASA NSPIRES, NIH ASSIST, DOE PAMS, and Grants.gov/Workspace).

 

Post-award responsibilities:

  • Administer the full life-cycle award including setup review, budget and expense tracking, prior approval requests and modifications, ad hoc reporting, and award closeout.
  • Communicate with subcontract office and collaborating institutions on award initiation; prepare and submit subaward agreement requests in Princeton ERA system.
  • Monitor budgets and expenses of active projects for accuracy and compliance. Communicate with faculty via monthly forecasting and expenditure reports.
  • Create and maintain financial records. Ensure spending aligns with awarded budgets and assist with obtaining necessary approvals on purchases. Assist with internal audits.
  • Additional tasks include entering and adjusting salary allocations, timely approval of travel and expense reimbursements, and providing faculty summer salary projections.

 

The Grants Manager is be expected to stay up-to-date with respect to knowledge of University policies and procedures regarding research administration including participation in University-sponsored trainings as well as remain current and knowledgeable regarding policies of governmental and non-government sponsors. The incumbent must be flexible to take on other ad hoc assignments to support HMEI researchers and research activities and to assist with other financial management functions as necessary and appropriate. 

Qualifications

Essential Qualifications

  • Bachelor's degree with three plus years of relevant work experience.
  • Ability to multi-task and prioritize among competing deadlines.
  • Superior analytical skills and attention to detail.
  • Excellent interpersonal, oral, and written communication skills.
  • Knowledge of government regulatory policy and ability to implement guidelines when managing sponsored research and other activities (Uniform Guidance).
  • Ability to interact professionally with all levels of University personnel, as well as the research administration.
  • Poised under pressure.
  • Interest in developing skills for professional growth.

 

Preferred Qualifications

  • Research administration experience including grant proposal preparation and submission to various governmental agencies such as NSF, DOD, DOE, NASA, etc.
