Bell Flavors & Fragrances is currently accepting applications for a Purchasing Agent position in Middletown, NY. The selected individual reports to the Purchasing Manager and performs all purchasing roles and duties required in the purchasing department. This includes, but not limited to, being responsible for purchase orders, and maintaining correct inventory levels for all raw materials. The primary function of this position is to understand the demand requirements needed to support the business and ensure timely purchase and delivery occurs to meet the requirements. This involves negotiating the best price and delivery to support the business requirements while maintaining correct inventory levels. Other tasks associated with this position include, maintaining a professional relationship with existing and new suppliers while holding them accountable to resolve in a timely manner: product shortages, sampling issues, late shipments, shipping tracking information, and any other supply issues. 


* Create purchase orders, and maintain/follow up on purchase order confirmations and/or delivery's daily
* Continuously monitor stock levels in partnership with Planning/Inventory Control
* Accomplished in Material Resource Planning (MRP) processes coupled with daily requirement ensuring proper stocking levels
* Place purchase orders as necessary to maintain order fulfillment, while controlling total inventory value and accurate inventory turn objectives
* Extensive purchasing knowledge with demonstrated end-to-end understanding of the procurement processes 
* Monitor confirmation POs, and work with the warehouse and accounting staff to resolve receiving discrepancies
* Place Spot Buy orders as needed for production rushes
* Outstanding supplier relationship management
* Process samples for alternative costs, or perfumery requirements
* Contact suppliers and expedite inventory as needed to insure inventory is on hand to minimize shortages
* Determine and implement the most economical shipment method for inbound shipments orders
* Hold vendors accountable for product and shipping errors, resolve issues with shipments including pricing and quantity mistakes.
* Handle all in house rejection, and returns on materials with the suppliers
* Assist with receiving credits from assigned vendors for returned/defective goods.
* Drive improvement in corporate fill rates and inventory turns based on goals set by management.
* Product Data Management & Reporting - create, release, update, and remove products
* Confirm and coordinate product selection through multiple suppliers
* Monitor, create and maintain BOM (Bill Of Materials)
* Other appropriate duties as assigned
* Required to attend annual refresher food safety training.
* Responsible for maintaining the SQF, ISO 9001:2015 and EFfCI requirements.


* Bachelor's Degree required, preferably in Business or related field of study
* 5+ years' experience in a purchasing role. Certified Purchasing Professional (CPP) certificate a plus
* Experience in the Fragrance and Flavor Industry a plus
* ERP experience (SBT, SAP, AX Microsoft Dynamics, BPCS, Oracle,..) a plus
* Strong researching and sourcing skills
* Highly motivated and driven
* Detail-oriented, with a talent for spotting and resolving discrepancies and errors
* Proven experience of working effectively within teams.
* Familiarity and comfort with informational technology and operations.
