Under the guidance of the Director of Operations, the Tumor Board/ Smilow Event Program Administrator manages the infrastructure that supports multidisciplinary treatment planning sessions across the service line and serves  as  the lead  point  person  for  all  SCH Multidisciplinary disease team  conference  needs.  Supports treatment  planning  activities  through  interaction  with team designees  and  manages  of  all  aspects  of  regularly  scheduled,  population-specific  tumor  board  sessions. This includes session planning/scheduling, agenda creation, communication, execution of case presentations, department expansion, continuous training of all incoming and existing tumor board /events staff, audiovisual support and assistance, and quality monitoring documentation. The  Tumor Board/Smilow Program Administrator promotes  tumor  board  participation  by  ensuring  effective  cross  team  scheduling,supporting  CME Coordinators with the  accreditation  processes.

Responsibilities:

* 1. Relational Functions
* 1.1 Lead, support, educate/train, and delegate tasks to tumor board staff and affiliates to endorse tumor board participation and promote accountability.

* 2. Administrative Functions (Session Planning and Execution)
* 2.1 Facilitates tumor board attendance by all relevant clinicians through schedule coordination across disease-based teams, and creation and maintenance of master tumor board schedule.

* 3. Program Development Functions
* 3.1 In collaboration with Chief Medical Officer or their designee and disease team leaders, develops processes and standard operating procedures (SOPs) for the planning and implementation of tumor board sessions, assisting team members with obtaining continuing medical education credits relevant to tumor board presentations, and communicating key information to relevant parties. Investigates and incorporates regional and national best practices as appropriate in the development of standard operating procedures customized to the Smilow Cancer Hospital environment.

* 4. Quality Monitoring Functions
* 4.1 Produces regular reports summarizing tumor board activity, and cancer cases by type and stage of disease for every team as required.

Qualifications:

EDUCATION

Requires an Associates Degree, or higher education, or combination of education and experience in event planning in a health care setting.

EXPERIENCE

Three (3) years  of  work  experience  required;  in  a  healthcare  environment  (Oncology),  or  event  management  preferred. Must possesses excellent organizational, interpersonal and communication skills.

LICENSURE

Certification as a Certified Event Management Expert preferred.

SPECIAL SKILLS

Must have above average organizational, communication,  and  time  management  skills,  as  well  as  the  ability  to  multitask with tact and poise. Must exhibit creative thinking, produce accurate and  high  quality  information,  and  demonstrate an attention to detail. Must possess effective report writing and presentation skills, as well as a general knowledge of computer  software  programs,  including  Microsoft  Word,  Excel,  PowerPoint,  Outlook,  and  Synapse  (PACs). Familiarity with audiovisual tools is preferred. Team orientation and self-motivation with capability to  take  assignments from conception to implementation. A  high  level  of  integrity  and  trust  is  required,  as  this  individual  will have access to medical records and be exposed to detailed clinical decision making.
