Overview:
THIS IS A TEMPORARY, SUMMER ONLY POSITION.
The Staff Assistant I is responsible for providing excellent customer service and information to clients, visitors, volunteers and the general public on the phone and in the office; acts as a liaison between clients and on site staff; assists with general intake information; notifies on site staff of visitors with scheduled appointments, as well as walk in inquiries. Check in patrons electronically via our membership system (PM). Lead, execute and foster a welcoming environment.
Responsibilities:
* Answers and follows through with phone calls.
* Data entry of general intake information and assists with general office work as needed.
* Prompt opening and closing of the reception area, including doors, phones and computer system.
* Maintains the reception lobby and other related public areas in a clean and orderly manner, including displays of brochures and pamphlets.
* Complies with training and cross training requirements.
* Ability to identify a potentially undesirable or harmful conditions developing and take action to defuse it.
* Works with compliance with the center's confidentiality guidelines and procedures.
* Employs a welcoming, respectful and responsive manner at all times.
* Performs related work as required.
Qualifications:
* Two (2) years experience in administrative work required.
* Appropriate education may be substituted for the required experience on a prorated basis.
* Working knowledge of computers; Word, Excel.
* Ability to type 30 wpm.
* Good verbal and written skills preferred.
* Ability to work effectively in multi-cultural, multi-ethnic work environment.
* Ability to exercise good judgment and focus on detail as required by the job.
* Boston residency required.
