The Senior Technical Project Coordinator is an internally based role responsible for providing technical support to field-deployed Kastle Project Managers and other department leaders. This position plays a pivotal part in translating project requirements into clear, actionable plans by preparing detailed installation packages and ensuring that each project is technically sound, fully documented, and ready for successful field execution.
By proactively identifying risks, clarifying scopes, and maintaining strong cross-department communication, this role drives project quality, operational efficiency, and customer satisfaction. It demands solid technical expertise, exceptional attention to detail, and a collaborative approach focused on process improvement and delivering successful outcomes across a dynamic portfolio of projects.
Responsibilities:
ESSENTIAL DUTIES:
* Review and analyze incoming jobs to understand the full scope of work from contracts, drawings, and client requirements, identifying technical risks.
* Clarify unclear or complex project elements by proactively engaging Project Managers and Field Leadership to define scope and expectations.
* Ensure alignment between what was sold, field capabilities, and customer deliverables.
* Receive and review ceiling, door, and hardware schedules from Project Managers.
* Finalize part requirements on pull sheets based on SOW, BOM, and job walk findings.
* Develop the best technical approach to support project success.
* Prepare comprehensive installation packages detailing job-specific tasks, materials, and system configurations.
* Translate project details into actionable documentation to guide field teams.
* Act as a liaison between sales, operations, and field teams to maintain scope clarity and project readiness.
* Create installation packages for Project Managers and technicians.
* Provide EPL support (reader definitions in NED) for PMs and technicians.
* Review and correct ED sheets, returning them to PMs for EPL submission.
* Review and process contracts into the CRM system, flagging incomplete packages and coordinating with Contracts and supervisors as needed.
* Audit field technician packages for accuracy and upload relevant hardware data into support databases.
* Prepare post-installation packages for customer review and verify system programming.
* Run post-installation activity reports to confirm proper system functionality and initiate corrective actions.
* Generate backlog and billing reports.
* Respond promptly to customer and PM calls and emails, fulfilling requests to drive satisfaction.
* Maintain strong rapport with Project Managers, PM leadership, and Installation Staff through regular communication.
* Solicit customer feedback on service and system effectiveness.
* Assist PMs with security system training as needed.
* Collaborate with various internal departments to resolve issues and deliver complete client resolutions.
* Generate and analyze security reports for clients.
* Identify opportunities to improve processes and enhance operational efficiency.
* Perform other duties as assigned by supervisors.
Qualifications:
REQUIRED SKILLS AND ABILITIES:
* 5 or more years of experience with Alarms, Computers Access Control, CCTV, and Networking
* Demonstrated ability to accept responsibility and carry out assigned tasks with limited supervision.
* Ability to read and interpret wiring diagrams
* Basic knowledge of IP, Ethernet and networking protocol and Cat5 technologies.
* Professional construction experience and knowledge of door hardware, electric and mechanical locking devices and building codes pertaining to construction, fire and electrical systems.
* Aptitude in basic programming
* Solid understanding of AC/DC theory
* Thorough knowledge of electronic testing equipment
* Experience with video cameras, lenses, DVR, NVR and video management
* Ability to perform detailed work, being careful about detail and being thorough in completing tasks.
* Ability to come up with relevant and creative ideas, analyze information and evaluate results to choose the best solution.
* Demonstrated self-composure, adaptability, persistence, a high tolerance for stress and unquestionable integrity.
* Ability and desire to work well with others.
* Ability to write and maintain accurate daily records.
* Ability to interface and communicate with customers and co-workers in a clear and professional manner.
* Ability and knowledge to use computer and effectively use Microsoft Office Applications, including Excel, Word and Outlook and other Kastle internal tools to facilitate business processes
* Excellent organizational skills.
* Desire to provide excellent customer assistance and demonstrate initiative.
* Proficiency in Microsoft Office. Good typing skills and capable of operating a standard computer terminal and keyboard.
* Available to work long hours as needed to complete required responsibilities.
* Ability to work well under pressure.
* No history of criminal convictions. Must pass a pre-employment drug screening and must be at least 18 years of age to apply.
* Must be a U.S. citizen.
* Travel may be required
