				Overview:

As support to the primary point of contact for the designated National Support Centers events and facilities, the Specialist, Support Centers will be responsible for working with departments on the pre- planning and coordination of the support center activities and events. The Specialist, Support Centers may also be asked to assist, on an ad-hoc basis, with collaborating on and organizing regional events.

Responsiblities

* Facilitate maintenance requests for Support Centers coordinating with the Maintenance Department
and/or vendors to resolve facility related repairs.

* Establish and maintain strong relationships with internal and external customers ensuring the highest level of customer service.

* Maintain a thorough working knowledge of adherence to all organizational policies, regulations and procedures.

* Keep immediate supervisor well-informed of facility maintenance activities, actions taken, results, problems identified and potential issues. Proactively recommend corrective solutions.

* Perform routine office/miscellaneous tasks as requested in order to maintain a professional and safe working environment for employees.

* Serve as a backup to other facilities team members (i.e. - Facilities Managers, Facilities Coordinators and Receptionists).

* Plan, coordinate resources including materials, people, and food & beverage to support the events conducted at Support Centers and offsite as requested.

* Provide a project schedule to identify when each task will be performed.

* Provide crisis management, resolve incidents, issues and problems both independently and in collaboration with internal personnel.

* Manage and place catering and supply orders for Support Center events that are held in the pantry area.

* Manage the set-up of the pantry for events as well as maintain the cleanliness and organization of pantry and surrounding areas.

* Facilitate, organize, and lead the portion of each event that relates to this role to ensure flow of event is maintained in a timely manner and resolve any issues that may arise.

* Primary contact for the management of the PDS University calendar.

* Manage Support Center events to include event list management, creating event spreadsheets and materials, maintaining vendor relations and on site event logistics.

* Resolve any issues and solve problems throughout each event cycle.

* Ensure key standard operating procedures are updated and communicated to the Facilities Manager.

* Enforce security protocol - verify all employees and visitors have badges that are visible at all times in the building.

* Gather data; prepare reports and presentations as needed.

* Maintain strong internal and external communications with all event/project stakeholders.

* Other duties as assigned by the management.

Required

* Bachelor's degree from an accredited university; in lieu of degree minimum 5+ years of experience in event coordination and planning.

* 2+ years' related experience with conference and/or event planning.

* Valid Class C Driver's License.

* Flexibility to work early mornings, evenings and weekends as necessary.

Preferred

* Proficiency with using Microsoft Office

* Prior experience in project management a plus.

* Knowledge of various digital communication tools in a multi-faceted media environment.
