Overview:
This position contributes to the efforts of the Spa Reservations team with the direct relationship with Joya Spa & Salon and Resort/Non-Resort group bookings. Providing the highest level of guest service and accuracy throughout the group reservation process (pre-arrival, arrival, during and post visit) . Meticulously manage and oversee the spa Group Reservation process and experience. Assist the spa leadership team in daily duties including answering phones/scheduling, generating and/or developing new, referred, and repeat group business.
Responsibilities:
* Create and manage spa group bookings interpreting sales contracts to ensure accuracy of dates, rates, billing, and inventory levels (gifts)
* Serve as group departmental liaison between Reservations, Sales, Front Office, and Spa as well as primary point of reservation contact for meeting planners
* Manage meeting planner adherence to cutoff dates, booking reduction opportunities, and attrition situations
* Participate in group pre-conference meetings with resort staff and meeting planners
* Assist reservation agents with incoming calls ensuring reservation calls are answered in a timely manner
* Maintain good safety habits and report unsafe or hazardous conditions to your manager
* Promote excellent guest relations
* Maintain a high level of work quality and quantity per resort standards
* Attend all meetings and training as scheduled by department manager(s)
* Comply with quality assurance expectations and standards
* Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees
* Enter, retrieve, reconcile, and verify information (e.g., commissions, leads, third parties) in the sales process
* Perform general office duties to support Spa Reservation and Leadership Team (e.g., answering calls, sending emails, confirmation calls)
* Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, or banquet event orders)
* Promote awareness of brand image internally and externally
* Gather materials and assemble information packages (e.g., brochures, promotional materials)
* Use sales techniques that maximize revenue while maintaining existing guest loyalty
* Perform additional duties as requested by the spa leadership team
Qualifications:
* Previous experience in a reservations or group sales within luxury spa/hotel environment preferred.
* Highly organized, ability to multi-task and work well within a team setting.
* Microsoft Office suite of software - literacy required, strong proficiency in Microsoft Excel spreadsheets and reports
* 3 plus years in administrative or executive assistant role in a spa/luxury resort preferred
* Proven competency in the area of organization and communication skills
* Maintain working knowledge of the following:
* Must be able to sit at a desk for 8 hours per day
* Moving and standing are occasionally required
* Effectively communicate with all co-workers, spa guests, hotel guests and management to their best understanding
