Responsibilities:

The Service Contract Administrator provides administrative and coordination support in the preparation and execution of facilities, maintenance and construction services and related work.  The service work is managed simultaneously requiring strong organizational, monitoring, and tracking skills.  The Service Contract Administrator acts as the primary interface with other departments and stakeholders to develop and obtain meaningful operational data for use by the Service Order Department.  The incumbent is often required to work independently on tasks and projects requiring research and preparation of charts and materials.  

Pay Rate: $40.71/hourly

Work Model: Onsite/In-Office

Qualifications:

Essential Duties & Job Functions:

* Facilitates and tracks all administrative service activities from inception through close out.
* Serves as a primary point of contact for customers and service providers regarding all inquiries related to service work. Facilitates concerns and questions through the appropriate stakeholders.
* Coordinates job site visits and associated access request requirements.
* Utilizes tracking mechanisms to timely, accurately and completely document the phases and activities of each service contract, i.e. RFP, procurement, award, start, end, etc.
* Actively collects service work details to generate and maintain associated documents and files.
* Collaborates with Superintendents, supervisors, subcontractors, customer, managers, subject matter experts, and other stakeholders to assemble and review scopes of work, purchase requisitions, service requests, pricing breakdowns, quotes, and all other service related documents.
* Collects, generates, and distributes documentation to appropriate stakeholders, i.e. service providers, Quality management, Safety and Risk, Procurement, Finance, etc.
* Develops progress reporting and department data statistics.
* Develops letters, submittals, and proposal packages to include facilitating submittal to customer.
* Assist Accounting and Procurement departments to resolve issues timely and communicate results.
* Attend meetings to record and provide updates, facilitate information/agenda, etc.
* Distributes notifications through the life of a service such as project awards, meetings, outages, etc.
* Collaborates with teams to generate technical reviews, receiving reports, and sole source requests.
* Identifies concerns during task order execution and brings them to the attention of management.
* Reconciles tracking mechanism and job details continuously to ensure accuracy.
* Identify, research and recommend procedural efficiencies to enhance productivity.
* Provides clear communication to enhance established collaborative relationships among the various project principals and groups which will promote the concept of integrated systems.
* Operate Government and Company motor vehicles.
* Adheres to the Company safety and personnel policies and standard operating procedures.
* Ability to work additional hours as necessary.
* Performs other duties as assigned in support of contractual obligations.
