Overview:
Operates telephone console to answer high-volume incoming calls and directs callers to appropriate personnel. As first point of contact to visitors, must project a professional image when routing calls and greeting guests.
This is a part-time role onsite 3 days per week for a French speaking bilingual candidate.
Responsibilities:
* Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate
personnel or department. Place outgoing calls, as needed.
* Answer questions about organization and provides callers with address, directions, and other general information.
* Welcome on-site visitors, determine nature of business, and announce visitors to appropriate
personnel. Relay messages manually, via PA system and/or by electronic mail.
* Monitor visitor access and issue guest passes, when required.
* Record voice mail greetings and retrieve voice mail messages from the general mailbox.
* Update the telephone extension directory.
* Update and maintain several databases using Excel and Access software.
* Train switchboard personnel and back-up on all aspects of the switchboard duties.
* Support Office Services and/or Human Resources in routine clerical and administrative tasks that can be accomplished at the front desk.
* Performs other duties as assigned.
Qualifications:
Minimum Qualifications:
* High school diploma or general education degree (G.E.D)
* 1+ year experience in customer service or similar role
* Must be bilingual in French
* Must be able to work onsite 3 days per week on a part-time basis
* Highly dependable to maintain perfect attendance
* Working knowledge of Microsoft Office Suite
Preferred Qualifications:
* Fluent in English, other languages such as Spanish an asset
* Cheerful, poised manner and presentation, both in person and on telephone
