The Purchasing and Logistics Coordinator conducts procurement, purchasing and logistics activities to ensure timely fulfilment of all food, beverage, hotel, and medical supplies required by company vessels at established global ports and dry dock projects. Complete daily assignments in a timely and service-driven manner.
Responsibilities:
* Manage global loading schedule and fulfilment of all food, beverage, and hotel provisions for assigned vessel(s)
* Lead sourcing initiatives for assigned commodities within regional markets to source, negotiate and award market bids; providing regional guest experience, charter requirements, theme cruises and other special requests as assigned
* Manage vessel quality & discrepancy reporting, reconciling financials within established voyage period, coordinating corrective measures with vendors and vessel staff for assigned vessel(s)
* Manage order to delivery process for all purchase orders including vendor confirmation, delivery to consolidator, invoice pricing & specifications match prior to loading. Finalize validation and vessel receiving within 72 hours of delivery for assigned vessel(s)
* Process all vendor invoices, submitting to Accounts Payable as per defined process and within vendor terms; maintain detailed voyage files with auditable documentation
* Engage and direct worldwide logistics partners and third-party logistics providers
* Assist with adherence to published loading and consolidation schedule for all ships & all markets, including periodic schedule loading to systems of record
* Coordinate logistics for vessel deliveries to ensure on-time delivery per approved loading schedules
* Recommend shipping methods, routing, carriers to meet necessary parameters, and costs
* Manage accurate counts and reporting for Windstar owned inventory at all locations
* Manage and reconcile monthly freight invoices per vessel, per voyage within accounting guidelines
* Manage and track vessel landings per approved process and best practices
* Plan and execute additional projects as assigned by supervisor
* Deliver best in class service to all stakeholders and lead with a servant's heart
Qualifications:
* Bachelor's degree in logistics, supply chain management or related field
* Advanced skills with the Microsoft office suite, especially Word, Excel, purchasing/inventory tracking software and Smartsheet.
* Exceptional communication and interpersonal skills with diverse audiences
* Ability to work independently under pressure and manage multiple priorities in a fast-paced environment
