About This Role
Hyland is looking for a detail-oriented and organized Proposal Services Specialist to join our team. In this role, you will be responsible for developing solicitations - including Requests for Proposal, Requests for Information, and Requests for Quote - as well as proposals for both direct and indirect channel engagements. You will lead cross-functional collaboration, manage multiple projects simultaneously, and ensure every submission is polished, compliant, and delivered on time. Your Role Responsibilities? Here's What You'll Do.
* Plan, coordinate, and monitor the development of basic to moderate risk solicitations and proposals, including RFPs, RFIs, RFQs, and vendor onboarding forms.
* Read solicitations and proposals to understand advanced technical, functional, and business requirements; parse and assign work to project team members.
* Organize and lead kick-off meetings with key stakeholders; establish deadlines, set project expectations, and manage collaboration within project management tools while working on multiple projects simultaneously.
* Act as liaison between the project team and subject matter experts, working cross-departmentally to track down and confirm information; ensure projects progress on schedule and in line with solicitation and company standards.
* Review, edit, and format final proposal content; coordinate proposal submission via email, bid portal, or hard copy delivery.
* Assist with updating and maintaining team resources, including internal websites and training materials; provide suggestions and updates to existing proposal content and assist with the training and onboarding of new team members.
Role Essentials
* 2-5 years of experience in proposal development, bid management, or a closely related role supporting enterprise sales or services teams.
* Demonstrated experience managing end-to-end responses for formal client requests, including intake, coordination, drafting, compliance checks, and final submission.
* Hands-on experience with one or more document types: RFPs, RFIs, RFQs, Requests for Tender (RFTs), vendor onboarding forms, and security questionnaires (e.g., information security, data privacy, risk assessments).
* Strong written communication skills in English and Spanish with exceptional attention to detail; proven ability to manage multiple deadlines and prioritize work in a fast-paced, deadline-driven environment.
* Experience collaborating cross-functionally with Sales, Legal, Security, Finance, Product, and Operations teams; experience supporting enterprise, SaaS, healthcare, technology, or professional services organizations.
What We'd Like to See (Preferred Skills)
* Familiarity with proposal management tools, document repositories, or CRM platforms (e.g., SharePoint, Salesforce, proposal automation tools).
* Exposure to regulated or compliance-heavy environments with a strong focus on accuracy, attention to detail, and adherence to standards.
* Experience supporting global or multi-region sales efforts across diverse markets and industries.
* Ability to grow company and product knowledge and stay aware of best practices and market trends; provides input on how to improve internal efficiencies.
* Demonstrated ability to train and onboard new team members, contributing to team development and a culture of knowledge sharing.
