The Patient Administration Specialist provides administrative and records management support within a Military Treatment Facility (MTF). This position is responsible for patient registration, medical records management, documentation accuracy, and administrative coordination to support patient flow and operational readiness. The Specialist ensures compliance with DoD, HIPAA, and MTF policies while supporting clinical and administrative staff in a deployed or operational environment.

Responsibilities:

This position description is subject to change at any time as needed to meet the requirements of the program or company.

* Register patients and maintain accurate demographic, eligibility, and insurance information.
* Create, maintain, file, retrieve, and archive medical records in accordance with MTF and DoD policies.
* Ensure completeness, accuracy, and proper coding of medical documentation to support clinical care and administrative processes.
* Facilitate patient flow through scheduling, check-in, check-out, and coordination of appointments.
* Assist patients with administrative inquiries and insurance or eligibility verification as applicable.
* Maintain confidentiality and safeguard patient information in compliance with HIPAA and privacy regulations.
* Generate reports and provide administrative data to support quality assurance, audits, and operational management.
* Coordinate with clinical, administrative, and support staff to ensure accurate and timely documentation.
* Participate in training, compliance inspections, and process improvement initiatives.
* Support MTF operational readiness through proper record-keeping and administrative procedures.
* Other duties as assigned

Qualifications:

* Minimum Qualifications: Education/Certifications: One year related experience may be substituted for one year of education, if degree is required.
* Education
* High school diploma or equivalent required with relevant training or experience.

* Experience
* Minimum of two (2) years of experience in patient administration, medical records management, or health information services.

* Additional Requirements
* Must obtain and maintain a current Local Police Clearance/Police Report, as required by host nation and contract requirements, prior to employment and throughout the period of performance.
* Maintain any required certifications for the duration of employment.
* Meet all deployment, security, access, and credentialing requirements.
* Ability to work independently and as part of a multidisciplinary healthcare administrative team.

* Skills:
* Proficiency in patient registration, medical records management, and healthcare administrative processes.
* Knowledge of HIPAA, medical documentation standards, and basic coding principles.
* Strong organizational, communication, and customer service skills.
* Ability to work efficiently in a fast-paced, deployed, or austere medical environment.
* Ability to maintain confidentiality and adhere to ethical and professional standards.

* Working Conditions:
* None. The worker is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work.)

* Physical Requirements:
* Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
* Work may require heavy lifting, stooping, climbing, prolonged standing, prolonged sitting, and working with or in areas where a potential could exist for exposure to physical, chemical, or biological agents.
* Employee use of personal protective equipment (PPE) is required for some situations. PPE includes, but is not limited to, head, foot, torso, respiratory, vision, and hearing protective devices.
* Must comply with all Fire and Safety Regulations and post policies.
