				Overview:

The Pathology Experience and Quality Assurance (QA) Specialist plays a critical role in ensuring laboratory compliance, operational efficiency, and a positive experience for both pathologists and clinicians. Core responsibilities include daily oversight of case distribution workflows within the Laboratory Information System (LIS), as well as identifying and resolving aging unfinalized cases. The Lead also provides essential support for quality assurance initiatives, delivers responsive service to referring clinics and clinicians, and assists in the onboarding and ongoing support of pathologists.

Schedule: 40 hours, Mon - Fri, 8 AM - 4:30 PM

Responsibilities:

* Support daily monitoring and maintenance of case distribution and aging cases through the Laboratory Information System (LIS):
* Monitoring and maintenance of the pathologist case distribution LIS module, such as updating schedules, capacity limits, clinic and clinician preferences, and pathologist profile data in coordination with senior lab leadership.
* Daily monitoring and investigation of aging unfinalized cases within the LIS, facilitating timely resolution to ensure accurate and timely case finalization.

* Quality Program and Project Support:
* Assist in coordinating and documenting monthly diagnostic Quality Assurance (QA) activities.
* Collect and input data for key performance indicators (KPIs) and quality metrics.
* Track and maintain logs of specimen submission issues and corrective actions.
* Help prepare documentation for internal and external audits.
* Assist in maintaining organized records of quality assurance activities, logs, and corrective actions.
* Assist in editing, formatting policy and procedure documents for submission and review.
* Organize and update shared documents, folders, and digital /data repositories.
* Support the execution of performance improvement initiatives and special projects.
* Help gather, analyze, and compile data for use in improvement strategies.

* Customer Service and Clinic Support:
* Serve as a first point of contact for clinic and clinician inquiries related to pathology services.
* Provide timely and professional communication to address concerns or escalate issues to the Manager when needed.
* Monitor special status clinician cases and utilization of pathology services, ensuring appropriate follow-up, turnaround time (TAT), and specimen handling.
* Log and track support activities, ensuring consistent service and follow-through.

* Pathologist Onboarding and Licensing Support:
* Support the onboarding process of new pathologists

* Other Lab Operations & Quality Support
* Perform case and sample-level investigations to resolve issues, discrepancies, or errors, including written investigation and corrective action reports, working closely with Medical Lab Director and lab operations senior leaders. 
* Perform additional administrative, operational, or quality-related tasks as delegated by management.
* Participate in staff scheduling, workload prioritization, and resource allocation to support efficient lab operations.
* Assist with laboratory supply inventory and ordering process as needed. 
* Assist with onboarding, training, and competency assessments for new or existing lab personnel.
* Support internal and external audits, inspections, and accreditation activities as needed.
* Other related duties as assigned.

Qualifications:

Required Competencies and Skills:

* Strong attention to detail, organizational, and problem solving skills.
* Excellent written and verbal communication.
* Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
* Ability to track and manage multiple tasks and timelines.
* Comfortable working with data and quality metrics.
* Strong sense of accountability and discretion.
* Knowledge of general medical terminology is preferred.
* Must display a friendly, cheerful, tactful and polite demeanor and must be compassionate and caring in dealing with others.
* Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team.
* Ability to use time productively and contribute to high levels of company operational efficiency and effectiveness.

* Must possess ability to learn and proficiently use Forefront's laboratory information and Clinic EMR systems. 

 Education

* Associate or bachelor's degree (preferred) in related healthcare, quality, or management field
* Experience in a laboratory, pathology, or clinical support setting is a plus.
* Experience with quality assurance or regulatory compliance a plus.
