Responsibilities:
The Program Support Specialist is a dynamic role supporting the Program Management team by executing various administrative tasks and collaborating with department and project leaders across multiple operations to improve business processes. This individual must demonstrate a strong aptitude for learning new systems and business processes, possess a proactive and team-oriented mindset, and be equally comfortable performing typical administrative support tasks or facilitating higher-level efforts focused on processes and improvement.
Salary Range- $75,000 - $95,000
Work Model: Onsite
Qualifications:
Essential Duties & Job Functions:
* Learn and serve as subject matter expert (SME) for the administrative and business support processes; personnel and their roles in the processes; software utilized; and the methods used for execution. Provide support and training to administrative staff, as needed.
* Facilitate efforts to standardize and streamline various business processes at the direction of the Program Manager (PM).
* Generate, deliver, maintain, and/or track various program and contract documents and activities, e.g., customer contract documents; deliverables; reports; organizational charts; insurance document packages; trainings, licenses, and/or certifications of staff; etc.
* Collaborate with department and project leaders to centralize, maintain, and organize program and contract-related information to ensure controlled access and efficient retrieval.
* Facilitate the development and delivery of operational metrics, trend analyses, and the presentation of data (charts, dashboards, slides, etc.) in support of performance monitoring and reviews.
* Coordinate and attend key meetings to support PM staff in tracking accomplishments and/or corrective actions, identifying task owners, listing open items, and coordinating follow-up activities with participants and/or stakeholders.
* Coordinate the establishment of service provider accounts, e.g., hotel chains, rental car companies, training resources, etc., with procurement to streamline employee engagement in business activities.
* Perform other duties as required to support team success.
