Overview:
Under the direction of the Supervisor of Administrative Services, the Office Services Assistant provides administrative and facilities support throughout the Planning Department. This individual is expected to maintain mail/copy room and process any outgoing mail and packages in accordance with postal and carrier regulations. A daily check-in with the direct supervisor for immediate needs or assignments and perform routine facility repairs and maintenance.
Responsibilities:
GENERAL DUTIES AND RESPONSIBILITIES: The general duties and responsibilities of the position are included but are not limited to the information listed below.
* Ensure office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies are at all Planning Department locations.
* Pick up, sort, and deliver mail, including interoffice mail/correspondence. Process outgoing mail and packages in accordance with postal or other carrier regulations; prepare for timely pickup.
* Assist in office moves and disposal of recycling and other refuse material.
* Maintain and keep common areas neat, including conference rooms, water cooler stations, break rooms, and office supply rooms.
* Provide office and administrative support at all Planning Department Office locations.
* Maintain and replenish mail/copy machine supplies. Unload and store supplies upon delivery from office supply vendors.
* Attend weekly staff check-in meetings to review past duties and future initiatives.
* Perform other duties as required.
Qualifications:
* Completion of High School Diploma or equivalent preferred.
* Prior experience in Administrative Services is preferred.
* Must have and maintain a valid Massachusetts driver's license to assist with operating and maintaining department vehicles.
* Experience with Microsoft Office and Google Suites Applications.
* Excellent Customer Service and interpersonal skills
* Must be able to pass a CORI check
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT
* Standard office environment; frequent site visits, occasional local travel.
* Frequent lifting and carrying of boxes weighing 50lbs.
BOSTON RESIDENCY REQUIRED
