Office Manager (Heavy Civil Construction)
Exempt
Reports To: Project Manager, Senior Project Manager, Commercial Manager, Project Executive
General Position Summary
The Office Manager plans and directs all accounting and administrative activities on an assigned project or facility.
Major Duties & Responsibilities
Responsible for the strict adherence to company safety policies and programs through the communication and enforcement of the Skanska Safety and Health Management Program, including the ability to independently stop work for a safety violation or suspected safety violation
Manage and supervise assigned project administrators responsible for certified payrolls, accounts payable and receivables, partner billings, reconciliations, back charges, and field invoices
Direct all craft personnel administration activities on project to include recruiting, new hire-sign up, employee orientation, policy and procedure interpretation, and terminations
Coordinate with external and internal auditors in annual and special audit functions
Resolve discrepancies through independent judgment and decision-making on payroll reports, vendor or contractor invoices by interfacing with other departments, vendors, or contractors
Keep track of leave time, such as vacation, personal, and sick leave, for employees
Purchase, inventory, operation and upkeep of office equipment
Maintain filing systems
Create and maintain checklists, forms, quality matrix, reports and tracking spreadsheets for Quality items on the project as needed
Perform document control for quality submittals and monitor the project specific quality plan, procedures, & testing as needed

Education and/or Experience
High School Diploma required
Associate Degree or Vocational education desired
Five years progressive business administration experience required, prior supervisory experience preferred.
Work Environment/Job Conditions
This job is performed both in the office and in the field. Field work requires experience and confidence working in and around heavy industrial equipment, systems and conditions is required. Activities and responsibilities require frequent sitting (often working on a computer), frequent driving, flying, walking, standing, light lifting, bending, and reaching. Due to computer usage, there may be repetitive motions of the hands and wrists.
