Responsibilities:
Ellucian is seeking a dynamic and detail-oriented Office Administrator to join our team in Malvern, PA. In this role, you will serve as the central point of contact for employees, visitors, and vendors, ensuring smooth day-to-day office operations. You will oversee reception coverage, mail and package handling, supply inventory, and vendor coordination, while also managing security access, maintaining accurate records and floorplans, and assisting with office projects and moves. The ideal candidate is a flexible problem-solver with excellent communication skills, strong multitasking ability, and a proactive mindset. Reporting to the Facilities team, the Office Administrator will play a key role in creating a safe, efficient, and welcoming workplace environment where employees and guests can thrive.
Where you will make an impact
* Oversee the day-to-day activities of the office as the main point of contact, uphold office efficiency by maintaining appearance of common areas ensuring a safe and secure working environment
* Answer incoming reception calls and route them accordingly
* Manage relationships with vendors and service providers
* Order/monitor/stock inventory of all products related to the office
* Maintain spreadsheets/Word documents for facility related functions
* Manage security access control system; responsible for creating and maintaining precise records for employee ID access badges, ensuring timely de-activation as needed; distribute and monitor temporary access badges
* Maintain floor plans showing employee space assignments
* Assist with office restacks and office moves
* Create Purchase Requisitions and process invoices.
* Point person for facility tickets; review requests/issues, assign to appropriate resource and ensure a resolution is promptly addressed
* Schedule/monitor work performed by contractors and vendors as required
* Process incoming and outgoing mail and packages
* Oversee day-to-day FedEx administration
* Assist with Facilities special projects
What you will bring
* 3 - 5 years prior experience in facility related areas
* Basic knowledge of Microsoft Office Suite
* Strong organizational, time management and customer service skills
* Ability to handle occasional stressful situations, multi-task and prioritize projects
* Comfortable communicating with all levels of the organization on a global basis
* Must have strong interpersonal skills and ability to work in a team environment
* Proactive self-starter and independent problem solver
* Flexibility to work after hours as required
* Ability to lift up to 25 pounds
