Responsibilities:
Are you ready to make a difference? IPS, a trailblazer in single-source, integrated EPCMV for technically complex facilities, is expanding. Our newly established office in Melbourne's Central Business District is seeking a proactive Office Administrator to join our industry-leading team.
In this role, you'll play a pivotal role in our operations. From office administration to marketing support, you'll collaborate closely with project managers, regional leaders, and our global support network.
Additional Responsibilities
* Handle incoming phone calls, emails, and posts.
* Welcome visitors and guests with warmth.
* Monitor office and equipment supplies, ensuring seamless operations.
* Maintain kitchen, break-out areas, and conference rooms.
* Create and maintain databases, filing systems, logs, and reports.
* Support travel organization and expense management.
* Assist in writing contracts, invoices, and backup documentation.
* Participate in project meetings, document protocols, and track action items.
* Represent the company in client interactions.
* Exhibit fiscal responsibility in all tasks.
* Complete assigned project work accurately and on time.
* Organize office events as needed.
* Handle timesheets, expense reports, and general ordering.
* Process accrued hours data.

Salary Range: $65,000 - $75,000 per year, commensurate with experience.
Qualifications:
* 3+ years of general business or administrative experience, preferably in an Engineering, Architectural, or Pharmaceutical setting.
* Proficiency with Adobe/Acrobat and Microsoft Office; Word, Excel, PowerPoint, Visio, and Outlook.
Preferred Qualifications
* Office administration and /or support experience.
* An Associate's Degree in Business or equivalent.
