Overview: The Manager of Faculty Affairs at Dana-Farber Cancer Institute (DFCI) plays a pivotal role in the administration of faculty affairs within the joint clinical program of Dana-Farber/Boston Children's Cancer and Blood Disorders Center. This position is responsible for overseeing all aspects of the faculty affairs process, from managing faculty position creation, searches, on- and off-boarding, credentialing, to overseeing clinical and academic appointments and promotion processes. Reporting to the Department Chair and the Senior Director of Administration & Operations in the Department of Pediatric Oncology, the Manager collaborates with Dana-Farber Disease Center leadership and clinical operations teams to ensure seamless faculty affairs operations. The Manager serves as a liaison for Institute and Department-wide issues, collaborating and communicating with internal and external stakeholders on day-to-day matters and strategic initiatives. The Manager also ensures compliance with institutional policies and regulatory requirements while fostering a collaborative and efficient work environment. Responsibilities: Faculty Affairs, Appointments, and Promotions: * Oversee faculty searches, position creation, and the onboarding and transitions of faculty members. * Develop and maintain comprehensive faculty rosters and databases for the department and joint institutions. * Provide oversight of clinical appointments and privileges with Medical Staff Offices at DFCI, Boston Children's Hospital (BCH), and Brigham and Women's Hospital (BWH). * Ensure providers are properly credentialed, trained, and enrolled with health plans in collaboration with Medical Staff and Provider Enrollment Offices. Manage DFCI Pediatric Hematology/Oncology clinical and academic faculty appointments and promotions, including participation in faculty renewal and promotion meetings. * Serve as primary liaison for: academic promotions, appointments, and renewals between Dana-Farber/Boston Children's Cancer and Blood Disorders Center and Boston Children's Hospital Department of Medicine and Harvard Medical School (HMS) Department of Pediatrics; and for visiting appointments and teaching associates between DFCI and HMS. * Act as subject matter expert on Harvard Medical School CV guidelines and promotion requirements. Graduate Medical Education (GME): * Support GME leadership by coordinating inpatient and outpatient clinical learning experiences in Pediatric Hematology/Oncology. * Develop and maintain Pediatric Oncology Shadowing policies and procedures. * Manage clinical rotation schedules, curriculum, and approval process for clinical observers, shadowers, clinical electives, and external learners. * Develop and maintain a student learner calendar for approximately 100 learners annually, including medical students, residents, fellows, shadowers, and observers. * Oversee HR and systems onboarding of student learners and ensure compliance with student eligibility requirements. * Update and maintain institutional Program Agreements between DFCI, BCH, and external institutions. Boston Children's Hospital (BCH) Associated Personnel Management: * Facilitate systems and badge access for Dana-Farber staff at BCH, managing onboarding, clearance processes, and respective systems privileges (access, extensions, and terminations). * Oversee curriculum compliance through proficient administration of BCH learning management systems and ensure data synchronization between institutions. * Train other DFCI administrators in BCH systems access processes. * Conduct regular BCH roster and data cleanup and ensure coordination with DFCI systems data. Strategic Planning and Process Implementation: * Collaborate with Disease Center leadership to develop strategic plans and communicate goals and initiatives. * Oversee the development and execution of new policies, processes and programs * Act as a liaison to BCH, fostering collaboration and integration of services, processes, and policy implementation Troubleshooting/Process Improvement * Serve as primary contact for faculty credentialing, systems, or administrative questions or issues, and promptly address and resolve issues, escalating as appropriate and developing long-term proactive solutions as applicable. * Adapt processes and policies to the changing healthcare environment. * Participate in quality and process improvement project teams. * Provide general administrative and operational management support, as needed Team Leadership and Development * Supervise and develop team members to achieve individual, team, departmental, and organizational goals by setting clear expectations and providing regular feedback. * Ensure compliance with policies, monitor work quality, and support career growth through mentoring and training. * Collaborate with senior management and HR to address performance issues and foster an inclusive and productive work environment. Supervisory Responsibilities * Directly supervises at least two staff. Hires, develops, and manages staff to achieve organizational goals. * Sets clear expectations, delivers feedback, and monitors performance for quality, efficiency, and compliance with policies and procedures. * Mentors staff, fosters career growth, and cultivates a positive and productive work environment. Qualifications: * Bachelor's degree required; Master's preferred * 5 years of experience in hospital administration or academia required; demonstrated supervisory experience required. * Business/financial management experience preferred.
