Longo Toyota of Prosper is looking for a Business Office / Receptionist to join our team!
The Business office Clerk/ Receptionist is a dual role engaging with both the business office and guest relation departments. Ideal candidate will be responsible for providing clerical and administrative support, as well as ensuring the highest level of guest satisfaction.
*This position is 100% on site at Toyota of Prosper in Prosper , TX.

Responsibilities:
* Performs general office duties such as filing, data entry, ordering office supply and handling routine correspondence.
* Assist business office department with delivery/pick up of documents, and/or other essential items as deemed necessary, to/from different establishments i.e., DMV office, post office.
* Responsible for logging Title received by FedEx or mail.
* Reviews and matches new and used car deals in preparation for the contract clerk postings.
* Review of DMV paperwork in preparation for Registration by DMV clerk.
* Review of Trade documentation for payoff and review of titles on traded vehicles.
* Research and send product cancellations to GSFS Admins for refunds to be sent to the Guest, lienholder or LTP.
* Retrieve check signatures for all outgoing checks from AP, Wholesales, Purchases, Equity and Payoffs.
* Pull deals to match for vehicle registration mailings, login to stamps.com to create mailing label to send to guest with tracking
* Process DMV payment postings in Tekion set up for ACH.
* Assists in all other areas of the business office and performs other administrative duties, as needed.
* Maintains assigned workspace in an organized and clean manner
* Always maintains a professional appearance
* Maintains high ethical standards in all actions
* Posting of Parts invoices and reconciling with month end stmts.
* Posting of Inventory Invoices from Gulf States Toyota daily.
* Posting Flooring invoices to reconcile with Inventory.
* Review and reconcile DMV, Inventory and Due Bill schedules weekly.
* Scan all deal paperwork once DMV has finalized into our DMS.
* Participate in department meetings advising the team of status with duties and projects undertaken.
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Individual must possess:
* A minimum of 1 year customer service experience
* A minimum of 1 year accounting experience
* Ability to coordinate activities with other employees
* Ability to read and comprehend instruction and information in the English language
* Pleasant and polite demeanor with the ability to communicate professionally on the telephone, internet and in person, and use standard office equipment
* Must have a valid driver's license and have and maintain an acceptable, safe driving record
* Ability to conduct and oversee needs assessments with well-developed project management skills
* Must have strong computer and database application skills (Excel, Word, Power-Point, etc.)
* Strong organizational skills to help manage multiple projects across two department.
* Ability to maintain the highest expectation of confidentiality.
* Keen attention to detail.
