Responsibilities:
The Legal and Regulatory Affairs Specialist provides high-level legal operations, corporate governance, and regulatory compliance support to the Chief Legal Officer and subsidiary leadership. This role is responsible for maintaining the company's corporate compliance posture across all jurisdictions, ensuring timely and accurate filings, and supporting legal operations infrastructure.
This position serves as a central coordination point between Legal, Risk, Finance, and Operations to ensure regulatory obligations are met, legal matters are properly administered, and compliance risks are proactively managed.
Qualifications:
Essential Job Duties:
Corporate Compliance & Governance:
* Manage and maintain corporate compliance requirements across all jurisdictions, including entity registrations, qualifications, and business licensing.
* Prepare, review, and file annual reports, state qualifications, license renewals, and other required regulatory filings.
* Serve as primary liaison with the company's registered agent (e.g., CT Corporation) and ensure timely and accurate handling of all correspondence.
* Monitor jurisdictional requirements and proactively identify upcoming compliance obligations or risks.
Legal Operations & Matter Management:
* Administer the Legal Tracker (or equivalent) platform, including:
o Matter creation, maintenance, and closure
o Invoice intake, review, and approval coordination
o Reporting on matter status, spend, and trends
* Act as the primary point of contact for outside counsel and vendors utilizing the platform.
* Support legal budget tracking and invoice accuracy in coordination with Finance.
Bonding & Risk Coordination:
* Coordinate bonding requests in collaboration with project teams, Risk, and surety providers.
* Ensure completeness and accuracy of bonding documentation and maintain tracking of all active bonds.
* Support standardization and process improvement of bonding workflows.
Service of Process & Legal Intake:
* Manage all Service of Process notifications, including intake, review, distribution, and tracking through resolution.
* Ensure appropriate escalation of time-sensitive or high-risk matters.
* Maintain complete and auditable records of all legal notices.
Document Management & Legal Support:
* Coordinate routing of contracts, legal documents, and requests for review to appropriate legal personnel.
* Track status of submissions and ensure timely follow-up and resolution.
* Maintain organized, audit-ready records of legal documentation and correspondence.
