Overview: As a member of the Office of General Counsel (OGC), the Legal Project Manager, Legal Operations, plays a crucial role in enhancing operational efficiency and business processes. This position is responsible for leading the planning, execution, and closure of legal projects, ensuring they are completed on time, within scope and budget. The core responsibility is to collaborate with the OGC's senior leadership and the Legal Operations team to develop and implement best practices for planning, performing, monitoring, and managing legal matters within a consistent framework, ensuring efficiency and quality deliverables. Reporting directly to the Director of Legal Operations, the Legal Project Manager collaborates closely with executives, members of the OGC, and business partners in Innovations, Finance, Business Initiatives and Alliances, Strategic Planning, and other colleagues across the Institute. Project Manager I is responsible for managing and executing projects that contribute to departmental objectives. This role involves managing project activities, managing timelines, and ensuring effective communication among team members. The Project Manager will engage with stakeholders to facilitate project success and address any operational challenges. Focuses on executing project plans and achieving project-specific objectives. * Project Planning and Resource Management: Develop comprehensive project plans outlining objectives, scope, timelines, resources, and budgets. Collaborate with the Director of Legal Operations to allocate and manage resources, including personnel, technology, and finances, ensuring projects are adequately supported and progress smoothly. * Risk and Quality Management: Identify potential risks and develop strategies to mitigate them. Ensure project deliverables meet required standards and legal requirements through proactive problem-solving, quality checks, and continuous improvement. * Communication and Coordination: Facilitate effective communication among team members, stakeholders, and clients. Organize meetings, provide updates, and ensure alignment with project objectives. Implement and integrate legal project management tools to enhance collaboration. * Monitoring, Reporting, and Evaluation: Track progress against established milestones and deliverables. Regularly report on project status to stakeholders, make necessary adjustments, and conduct post-project evaluations to access success and recommend improvements. Develop and implement dashboards and reporting systems to enhance information sharing and decision-making. * Document and Knowledge Management: Collaboration with the General Counsel, senior counsel and the Director of Legal Operations to optimize SharePoint for efficient document management and contract processes. Ensure compliance with data privacy and security standards in shared IT services. * Engagement and Budget Management: Collaborate with the Director of Legal Operations in managing law firm and legal consultant engagements, including assisting with forecasting and monitoring budgets, developing RFPs, and automating budget processes. Track legal projects to provide regular reports on milestones and areas of improvement. * Process Improvement and Collaboration: Foster a collaborative environment within the OGC and with key stakeholders. Provide mentorship and training in project management and process improvement, implementing Six Sigma recommendations to optimize processes and reduce legal spend. We are seeking a candidate with * Familiarity with legal processes and operations within a corporate legal department or law firm setting. * Project Management Professional (PMP) or Six Sigma certification is preferred. * Experience using formal project management and process improvement tools and techniques. * Strong analytical and project management skills. * Familiarity with matter management systems, contract management systems, extranets, online data rooms, collaboration tools and SharePoint sites. * Essential communication, presentation, and stakeholder management skills, with the ability to collaborate effectively with cross-functional teams of legal executives and business partners. * Willing to challenge and question assumptions and propose alternative and bold solutions. Responsibilities: * Scope and Complexity: Manage small projects with clearly defined objectives and limited scope, focusing on task execution and meeting project-specific goals. * Decision Making: Make informed decisions regarding resource allocation and project timelines, with some autonomy in resolving operational challenges. * Stakeholder Interaction: Communicates with project team members and stakeholders relevant to the specific project. * Project Management: Plan and manage project activities, ensuring tasks are completed on schedule. * Quality Assurance: Track project progress, ensuring that outputs are accurate and meet established performance metrics. * Documentation: Maintain accurate project documentation and ensure compliance with institutional policies and procedures. Qualifications: * Bachelor's degree required. * Three (3) years of experience in project coordination /administration OR at least one (1) year of project management experience. KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED: * Solid understanding of project management principles and practices. * Strong organizational and time management skills. * Effective communication and interpersonal skills. * Ability to work collaboratively in a team environment. * Proficiency in using project management tools and templates. * Ability to manage multiple projects and priorities simultaneously.
