Berkshire Hathaway HomeServices PenFed Realty (PenFed Realty), a wholly owned subsidiary of PenFed Credit Union (PenFed), is hiring a (Remote) IT Project Management Coordinator. Can be located anywhere in the DMV area, but must be able to travel to locations in the DMV area occasionally. The primary purpose of this job is to play a crucial supportive role within the Product team, directly contributing to the successful execution of product development and enhancement projects. This position involves comprehensive assistance in the planning, execution, and monitoring of project activities. The coordinator will be responsible for meticulous documentation, proactive communication, and ensuring project adherence to established timelines and objectives. This role requires a highly organized individual with excellent communication skills and a solid foundational understanding of project management principles to effectively support the Manager, Product Owner in driving projects forward.

* Project Planning and Support:
* Assist in defining project scope, objectives, and deliverables under the guidance of the Manager, Product Owner.
* Develop and maintain detailed project plans, schedules, and timelines using appropriate tools.
* Track project progress against established milestones, identifying and reporting any deviations or potential risks to the Manager, Product Owner.
* Support the allocation of tasks and resources, ensuring clarity of responsibilities within the project team.
* Project Monitoring and Control:
* Proactively monitor project activities, tasks, and deliverables, ensuring they are on track and meeting quality standards.
* Identify and document project risks, issues, and dependencies, escalating appropriately and proposing potential mitigation strategies.
* Facilitate the tracking and resolution of action items arising from project meetings.
* Contribute to the maintenance of a project management knowledge base, documenting lessons learned and best practices.
* Communication and Stakeholder Management:
* Organize and facilitate project meetings, including preparing agendas, distributing meeting materials, and taking detailed and actionable minutes.
* Ensure clear and consistent communication of project status, updates, and potential roadblocks to relevant stakeholders.
* Support the Manager, Product Owner in communicating project-related information to cross-functional teams.
* Maintain effective working relationships with internal teams to ensure seamless collaboration on project deliverables.
* Documentation and Reporting:
* Create and maintain comprehensive project documentation, including project plans, schedules, status reports, meeting minutes, risk logs, and issue trackers, ensuring they are accurate and readily accessible.
* Assist in the preparation of regular project status reports for the Manager, Product Owner to highlight key achievements, potential challenges, and upcoming activities.
* Ensure all project-related documentation is organized and stored according to established procedures.
* Cross-Functional Collaboration:
* Collaborate closely with all technology teams to ensure project deliverables are effectively integrated into training materials and schedules.
* Work with internal teams to identify, troubleshoot, and document product performance issues, utilizing the internal ticket system for tracking and resolution.
* Support the coordination of testing and quality assurance activities related to project deliverables.
* Proactive Issue Identification and Escalation:
* Through diligent monitoring of project activities and timelines, proactively identify potential delays or roadblocks to deliverables.
* Promptly communicate identified potential delays and their potential impact to the Manager, Product Owner, proposing potential solutions where possible.
* Follow established escalation paths for unresolved issues or critical project risks.
* Administrative and Continuous Improvement:
* Provide general administrative support to the department as needed, including scheduling, organizing files, and managing correspondence.
* Actively engage in ongoing research, training, and other activities to enhance knowledge of project management methodologies, tools, and industry best practices.
* Perform additional duties as needed to support the overall success of the team and organization.
Qualifications:
Equivalent combination of education and experience is considered.
* Bachelor's degree in Business Administration, Project Management, or a related field preferred. However, we will consider a combination of experience and education in lieu of a degree.
* Proven strong organizational and time management skills, with the ability to manage multiple tasks and priorities effectively.
* Excellent communication skills, both written and verbal, with the ability to articulate project information clearly and concisely.
* Solid understanding of fundamental project management principles and methodologies (e.g., Waterfall, Agile).
* Proficiency in Google Workspace (Docs, Sheets, Slides) and familiarity with project management software or tools.
* Demonstrated ability to work independently, take initiative, and collaborate effectively within a team environment.
* Strong attention to detail and a proactive approach to identifying and solving problems.
* Experience with specific project management software (e.g., Asana, Trello, MS Project, Jira) preferred.
* Previous experience (internship or employment) in a project coordination, project support, or administrative role within a project-oriented environment is a plus.
* Familiarity with the real estate industry and its specific challenges and opportunities desired.
* Basic understanding of product development lifecycles preferred.
Supervisory Responsibility
This position will directly not supervise employees.

Work Environment
While performing the duties of this job, the employee is regularly exposed to an indoor office setting with moderate noise.
