Our HR Pre-boarding Specialist will ensure efficient pre-employment processes, help monitor vendor relationships, handle inquiries, support new recruiters and field HR teams, and comply with data protection regulations and company policies.

Responsibilities:

You Will be responsible for . . .

Primary Duties and Issue Resolution:

* Support the day-to-day administration of pre-employment checks, annual background checks, post-accident, reasonable suspicion and fit for duty.
* Support HR leaders and brands in setting up new locations and running  orders for acquisition teammates.
* Investigate and help management resolve issues related to pre-employment checks and other HR functions and/or discrepancies.
* Collaborate with external vendors to ensure accurate and timely completion of pre-employment screening processes.
* Collaborate with management to document processes and procedures effectively.
* Ensure vendors adhere to agreed-upon timelines and quality standards.

Communication:

* Monitor multiple mailboxes to address inquiries promptly and professionally.
* Assist hiring managers/recruiters in inquiries with candidates and vendors.
* Communicate effectively with HR teams, vendors, hiring managers and candidates.
* Review and address a ticketing system to complete requests. 

Supporting Training:

* Co-lead training presentations to support new recruiters during onboarding.
* Support revision of training materials and documentation.
* Provide ongoing support and guidance to team members.

Compliance and Data Protection:

* Ensure compliance with data protection regulations and company policies.
* Safeguard sensitive information and maintain confidentiality in all HR-related matters.
* Collaborate with legal and compliance teams to stay updated on relevant regulations and policies. 

Process Improvement:

* Actively collaborate on process improvements for ongoing efficiency.
* Identify areas for streamlining workflows, reducing turnaround times, and effectiveness.
* React quickly to changing requirements and demands.
* Execute complex processes/programs with compliance, quality, and speed.
* Use data and metrics to support assumptions and recommendations.
* Respond quickly and accurately to escalations. 

Administrative Support:

* Perform administrative duties, such as data entry, document management, and digital file maintenance.
* Ensure meticulous attention to detail in all aspects of HR processes.
* Assist in the development and maintenance of HR-related reports using Excel and communications using Word and PowerPoint.

Qualifications:

The Experience You Will Bring (Minimum Requirements):

* Associate or Bachelor's degree in Human Resources or Business; however, a combination of education and relevant work experience will be considered.
* 3 years of work experience in the areas of: Human Resources, Customer Service, and Operations. May consider a combination of education and experience.  
* Strong working knowledge and experience with the Microsoft Office suite.
* Professional written and verbal communication skills
* Customer service mindset and strong follow-through
* Demonstrate honesty, integrity and willingness to learn 
* Ability to keep organized with a keen eye for detail in a high-volume environment
* Familiarity with HRIS and ATS systems; UKG (formerly known as UltiPro) and iCIMS a plus
* Ability to manage multiple tasks simultaneously and meet deadlines all while thriving in a fast-paced environment
* Ability to collaborate effectively with cross-functional teams
* Willingness to support colleagues and contribute to a positive work environment
