Qualifications:

Job Summary
The Medical Transportation Dispatcher oversees and schedules transportation services for residents, ensuring efficiency, cost optimization, and compliance with regulations. They manage driver assignments, monitor trips in real time, and respond to emergencies while maintaining clear communication with residents, healthcare providers, and staff. Additionally, they support driver training, maintain accurate records, develop vendor and insurance relationships, and provide exceptional customer service to ensure a smooth and safe transportation experience.

Roles and Responsibilities

*  Coordinates and schedules transportation requests for healthcare facilities, patients, and their families.

*  Optimizes the use of the fleet for the residents by reducing costs and assigning appropriate drivers per trip.

*  Maintains clear and effective communication with drivers, residents, healthcare providers, and campus staff to ensure that transportation services are carried out smoothly.

*  Supports the onboarding of new drivers by ensuring they complete all required training levels and providing guidance on safe driving practices, patient handling, and emergency procedures.

*  Provides drivers with detailed instructions regarding pick-up and drop-off locations, patient information, and any special requirements.

*  Monitors the status of all active transportation assignments using dispatch software and GPS tracking systems.

*  Ensures that drivers adhere to scheduled pick-up and drop-off times and make adjustments as necessary to accommodate changes or emergencies.

*  Responds promptly and effectively to emergencies or unexpected situations, such as vehicle breakdowns or traffic delays.

*  Maintains accurate records of transportation activities, including trip details, mileage, driver assignments, and incidents, while generating reports for management, billing, and compliance purposes.

*  Assists in the development of processes and procedures, ensuring compliance with all relevant regulations, policies, insurance and risk requirements, and safety standards.

*  Provides excellent customer service to patients, their families, and healthcare providers by addressing inquiries, resolving complaints, and ensuring a positive transportation experience.

*  Coordinates alternative transportation arrangements and communicates with all parties involved to minimize disruptions and ensure patient safety.

*  Works to develop relationships with outside transportation vendors to cover stretcher transportations or additional wheel chair transportations when internal staff or vehicles are not available.

*  Develops and maintains market knowledge of insurance reimbursement rates for various transportation classifications while building relationships with insurance providers to secure pre-authorization for transportation requests.

*  Recruits, hires, trains, and directly manages Transportation Associates.

*  Other duties as assigned.

Qualifications
Education: High School / GED
Experience: 3-5 years

Licenses and Certifications
In the event the incumbent provides transportation services to residents, they must possess and maintain the appropriate valid license and/or certifications required to operate vehicles for transporting residents safely and in compliance with all applicable state regulations. In addition, those working in Kentucky must complete a Department of Transportation (DOT) physical before providing transportation services.

Physical Requirements
Sitting, standing, bending, reaching, stretching, stooping, walking, and moving intermittently during working hours. Must be able to lift at least 50lbs. Must be able to maintain verbal and written communication with co-workers, supervisors, residents, family members, visitors, vendors, and all business associates outside of the health campus.
