Responsibilities:

Job Summary / Purpose
The Executive Coordinator will plan, organize and coordinate the administrative aspects for the Senior Vice-President/Vice-President level leadership they are assigned to support.

Essential Functions
Essential Function

* Provides direction and prioritization standards for the screening of leadership's mail, email, voicemail and appointments by using expert judgment and knowledge. Maintains up-to-date calendar of meetings, travel, events, and anticipates associated needs.
* Anticipates needs, and proactively brings together appropriate people and other resources to support leadership in addressing issues.
* Serves as departmental liaison with administrative personnel concerning CommonSpirit Health policies and procedures, and budgetary preparation and control.
* Conducts research, develops content, and creates effective presentations; independently develops presentations for leadership to deliver. Types agreements, drafts correspondence, emails, etc; proofreads documents with high degree of accuracy; operates standard office equipment.
* Creates and maintains files; prepares mailings, including gathering back-up materials, duplication, preparation of labels and envelopes, and acts as contact point for Managers or leadership wanting additional or follow-up information.
* May represent CommonSpirit Health and/or the leadership on internal or external committees. Handles confidential information on a variety of topics including, but not limited to company operations, performance, or value.
* Processes bills for department and various vendors; maintains budget charts of outside counsel fees; monitors monthly budget reports.
* Performs other duties as assigned.

Qualifications:

Education and Experience

Education Level

High School Graduate

Associates Other - preferred 

4-6 years, A minimum of 5 years of office support/executive assistant experience with management in a Corporate or Healthcare environment (required).
