				Overview:

We are seeking a highly organized, discreet, and proactive Executive Assistant to provide advanced administrative support to senior leaders in our Legal and Compliance functions. This role is critical to the smooth operation of a complex, highly regulated healthcare environment and requires exceptional judgment, attention to detail, and the ability to manage sensitive and confidential information. The ideal candidate is a trusted partner who anticipates needs, manages competing priorities, and communicates effectively across all levels of the organization.

Location: Onsite - Des Moines, IA 

Hours: Monday-Friday, 8am-5pm 

Responsibilities:

Executive Support: 

* Manages senior vice president's calendar, coordinating with internal and external parties to prioritize and organize meetings, appointments, and events across multiple time zones.
* Supports the preparation of PowerPoint presentations and executive reports, ensuring materials align with strategic objectives and are designed as per upcoming meetings.
* Assists with the creation and distribution of agendas, and provides accurate and timely minutes and follow-up actions, during and after senior leadership meetings.
* Maintains a comprehensive and confidential filing system for all relevant documents, ensuring ease of retrieval and adherence to privacy standards.
* Coordinates travel arrangements 
* Reviews and manages the senior vice president's written, if directed, and call correspondence, drafting responses as appropriate and ensuring high-priority communications are addressed promptly. 
* Serves as the primary point of contact between the senior vice president office and internal and external stakeholders, ensuring clear and timely communication.

Departmental Support: 

* Coordinates and supports the logistical aspects of meetings, retreats, and conference calls, including agenda preparation, scheduling, and technology setup.
* Drafts, composes, and proofreads a variety of documents, including reports, memoranda, and correspondence.
* Assist with the preparation and monitoring of budgets, expense reports, and contracts.
* Works on initiatives to improve office practices and workflows, recommending strategies to enhance efficiency, effectiveness, and overall operations.
* Participates in event planning, project coordination, and office management tasks, as needed.
* Partner closely with other executive assistants and department leaders to ensure alignment across the leadership team.

Qualifications:

Education:

* High School diploma required 
* Associate's or Bachelor's degree in business or health administration preferred 

Experience:

* Experience supporting attorneys in a law firm or legal department highly preferred
* 3-5 years of experience in an assistant or related role required 
* 2 years of experience supporting senior executives in a fast-paced, complex work environment required 
* Experience in a healthcare setting preferred
