Why This Role Matters
The EMR Specialist is part of a team of HIM professionals dedicated to ensuring the integrity, accessibility, and compliance of patient health records to deliver the most remarkable patient experience, in every dimension, every time. You will play a critical role in supporting patient care by driving accuracy, efficiency, and adherence to regulations across the HIM function.
What You Will Do
* Location: ONSITE at Presbyterian Medical Center.
* Schedule: Monday - Friday, 8:30am - 5:00pm with weekend and holiday rotations.
* Work assigned record pull lists within the HER and retrieve paper based medical records from hospital record archives.
* Facility rounding to retrieve paper based medical record documentation of discharged patients.
* Sort/reconcile charts/documents for downstream processes according to policy/procedure/standards.
* Follow up/troubleshoot on any outstanding record requests, archival issues, rounding issues or legacy (paper or electronic) medical records to supervisor/manager and/or customer.
* Scan any paper documents into the scanning/imaging software application/EHR. Follow document scanning policy/procedure/standards as applicable.
* Review and work any electronic document imaging queues to ensure appropriate indexing/mapping has occurred and update as appropriate.
* Review and reconcile any documents for readiness for downstream workflows.
* Review each scanned image/batch for image quality and accuracy against any upstream mapping/indexing policy/procedure/standards.
* Re-index documents as appropriate and performs a page-to-image comparison across any scanned image as appropriate.
* Review, reconcile, resolve, and approve any and all images contained in applicable document imaging work queues as applicable.
* Follow up and troubleshoot issues as appropriate. Clear any and all issues and approve all scanned documents for accuracy in preparation for physical document destruction with 100% accuracy.
* Greet customers/callers and explain record release authorization requirements. Answer/review phone/fax/mail/walk-in requests and process accordingly.
* Assess record requests and scan/log them into the EHR system as appropriate.
* Understand how to apply HIPAA rules/regulations/policies/procedures to all record release situations.
* Handle collection of monies related to on-site release of information medical record request invoices (and all associated internal financial processes).
* Must process record releases with 100% accuracy and perform work within established turn-around-time metrics/goals.
* Escalates any record release issues through the appropriate chain of command to avoid missing deadlines.
What You Will Need
Required:
* High School Diploma or GED.
* 3+ years of equivalent work experience with similar work assignments roles and responsibilities.
* Zero years of experience with RHIT or RHIA licensure.
* Excellent analytical and customer service skills.
* Strong working knowledge of HIPAA requirements.
* Comfortable in a computer-based workflow, with working knowledge and/or familiarity with acute care medical records and hospital regulatory environment.
* Able to successfully complete generic and department-specific skills validation, competency testing, and standardized productivity metrics/goals.
* Able to multitask and work independently with limited supervision.
* Able to drive/travel to multiple locations/facilities as needed.
Preferred:
* RHIT licensure.
* Associate Degree.
* Experience with the EPIC EHR and/or Hyland On Base scanning application.
