Position Overview

Under the direction of the Chief of Adult Library Services, provides support for programming developed by the adult programs department, including scheduling, invoicing, day-of assistance, coordination, and other clerical duties.

Responsibilities:

Scope of Responsibility

* Assists the Programs (Adult) Librarians in all aspects of program coordination and implementation for adult programs at the Central Library, adult block programming, and initial programming in branches post-renovation or construction.
* Assists the Programs (Adult) Librarians in planning and preparation of programs, including outreach to vendors and performers.
* Schedules performers for adult programming and assists with required paperwork.
* Assists with information gathering and calendar input, including digital signage, for promotional efforts for programs scheduled by the Adult Programs Department.
* Assists with day-of logistics at programs for adults at the Central Library, as needed.
* Participates in all aspects of payment of invoices for adult programs including, registration of speakers and performers and tracking of payment checks.
* Assists in the collection and preparation of statistics for adult programs.
* Updates and maintains adult programs voicemail.
* For programming, prepares materials for delivery or shipping to the appropriate locations; sorts and routes mail.
* Assumes responsibility for all adult programs clerical duties as directed by the Chief of Adult Library Services.
* Other related duties as assigned.

Qualifications:

* Education - High school graduate or equivalent. Additional education is desirable.
* Experience - At least two (2) years of administrative experience or equivalent education and/or training to carry out the responsibilities of the position.
* Ability to prepare analytical and statistical reports.
* Demonstrated initiative and appropriate independent decision-making skills.
* Demonstrated strong oral and written communication skills. Communicates effectively and presents ideas clearly.
* Demonstrated organizational skills. Identifies, plans, and prioritizes administrative job responsibilities and tasks; assists in implementing administrative timelines.
* Ability to collaborate with library staff, patrons, and vendors.
* Computer skills are necessary to complete the job as described. Proficiency with MS Outlook, Word, and Excel.
* Willingness to work a public service schedule.
* CORI - Must successfully clear a Criminal Offenders Record Information check with the City of Boston.
