Qualifications:
* Education: High School Diploma /GED Required. Associates Degree Preferred.
* Experience: Three years of administrative support experience Required. Healthcare administrative support experience Preferred.
* Additional Skills Required: Ability to effectively communicate and foster relationships with business partners, clients and leadership at all levels, while maintaining the utmost confidentiality and professionalism; Ability to use a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Teams, Adobe Pro, Zoom, etc., to produce correspondence and documents, prepare presentations and spreadsheets, and maintain records and databases; Ability to handle multiple projects and a variety of tasks while interacting with individuals of all cultures and levels of authority; Ability to work responsibly and independently in a hybrid work environment, if available; detail oriented, trustworthy, and team focused with strong initiative; Possess excellent follow-through skills; Ability to successfully complete generic and department-specific skills validation and competency testing.
* Essential Functions:
* Administrative: Support manager and Internal Consulting Group in all administrative duties as required to ensure detailed activities and procedures run smoothly for efficient operation and delivery of results.
* Communication: Possess excellent verbal and written communication skills, customer service and problem-solving skills, and work with changing priorities. Prepare correspondence for leader(s): memos, letters, minutes, agendas, etc.
* Coordination of Meetings: Maintain calendars for leaders as requested. Arrange meetings and/or events as well as conferences, conference calls and video conferences. Contact participants, check for availability. Set date, time, place, and reserve venue. Arrange set-up/catering/entertainment when necessary. Arrange for audio visual needs. When necessary, plan and coordinate travel arrangements by using travel software or contacting travel agent, hotel, seminar. Attend assigned meetings, record minutes and maintain meeting attendance records as requested.
* Financial: Prepare and submit requests for disbursement to accounts payable. Prepare expense reports. Collect invoices for department services and maintain log to track expenses.
* Timekeeping: Oversee departmental timekeeping duties including researching discrepancies and correcting as appropriate. Complete timekeeping duties accurately and by prescribed deadlines. Track attendance occurrences and submit reports to the manager as requested for tracking, follow-up, determining the need for corrective action and distributing reports to the appropriate areas.
* Files Management: Maintain an organized filing system to easily access information as needed.
* Supplies Management: Order supplies and computer equipment via online ordering system and maintain inventory for department. Receive and distribute supplies.
* Presentations: Prepare PowerPoint presentations as requested. Collect and organize material to be presented in final form.
* Security Liaison: Process requests for team member access in a timely manner. Terminate access that are no longer needed.
* Certificate of Need: Assist with administrative needs for CON group which may include preparing vouchers and check requests, tracking filing deadlines and CAN balances, and assisting with filing preparation and paperwork.
* Non-essential Functions:
* Serve as back-up to the department in any function needed. Assists with special projects as needed.
