The Administrative Coordinator is responsible for managing daily incoming and outgoing car sales files, coordinating titles, assisting with paperwork processing, providing customer service and administrative support for multiple teams across Car Sales Shared Services.

Our Car Sales Shared Services team is an integral part of the Corporate Car Sales Team and operates from our Enterprise Mobility Lakeside Campus (2291 Ball Dr, Maryland Heights, MO).

Responsibilities:

We are hiring now for immediate openings.  Responsibilities include:

* Process daily incoming car sales files and general paperwork from sale locations/dealerships
* Review and approve car/truck sales transactions within the processing system
* Compare customer paperwork to processing system to the processing system and address any discrepancies with team members
* Separate and scan photocopies of required documents for funding packets
* Utilize daily tracking tool to record the disposition of files throughout the life cycle
* Coordinate and complete team storage and filing needs
* Sort, open, and review all incoming postal mail for the department and process outgoing mail
* Verify and pay invoices received from third-party vendors
* Serve as a point of contact with external parties, including financial institutions, auto auctions, dealerships, and other internal groups to obtain titles
* Coordinate the vehicle titling process including tracking, scanning, researching missing titles, and sending received titles to appropriate internal contacts
* Maintain strong working relationships with internal teams to gather feedback and provide to the team to streamline internal processes
* Seek to improve job performance through self-assessment, skill development, training and goal setting
* Maintain a regular and reliable level of attendance and punctuality
* Perform miscellaneous job-related duties as assigned

Qualifications:

Minimum:

* Must be at least 18 years of age
* High School Diploma/GED/Equivalent required
* Must have a minimum of 1 year of administrative support and customer service experience
* Must be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future

Preferred:

* Previous mail room experience preferred
