Responsibilities:
GFT is seeking an Administrtive Assistant to support our Information Technology Department iddeally the position would be located in either in the Greater Chicago Area, Nashville TN, Philadelphia or Mechanicsburg PA. This role follows a hybrid work model, requiring regular attendance either location.
What you'll be challenged to do:
The Administrative Assistant provides high-level administrative and organizational support to the IT department. This role ensures smooth day-to-day operations by managing schedules, coordinating communications, handling documentation, and supporting departmental initiatives. The ideal candidate is detail-oriented, tech-savvy, and able to handle multiple priorities in a fast-paced environment.
In this capacity, the successful candidate will be responsible for the following:
* Provide administrative support to IT leadership and team members.
* Manage department calendars, schedule meetings, and coordinate logistics (virtual and in-person).
* Serve as a point of contact for internal requests, vendors, and external partners.
* Assist with preparing reports, presentations, and documentation for IT projects.
* Maintain accurate records of IT assets, contracts, and licenses.
* Support onboarding/offboarding processes by coordinating equipment setup, access requests, and system permissions.
* Process purchase orders, invoices, and expense reports for IT-related purchases.
* Track departmental budgets and expenditures as directed.
* Help organize IT team events, training sessions, and communications.
* Perform general office tasks, such as filing, data entry, and correspondence.

Qualifications:
What you will bring to our firm:
* High school diploma required Associates or Bachelors degree preferred.
* Minimum 2 years of administrative or office support experience; experience supporting technical or IT teams a plus.
* Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools (Teams, Zoom, Slack, etc.).
* Strong organizational and time-management skills.
* Excellent written and verbal communication skills.
* Ability to handle sensitive and confidential information with discretion.
* Comfortable working with technology and learning new systems quickly.

Compensation:
The salary range for this role is $52,000 - $65,000. Salary is dependent upon experience and geographic location.
