Hours: Fulltime, Mon-Fri 7am-3:30pm

The Administrative Assistant II is responsible for supporting departments and healthcare teams with administrative tasks of medium complexity. The role manages communication, scheduling, and travel arrangements. The role orders office supplies, maintains equipment, and oversees correspondence to ensure proper tracking and timely follow-up. The role maintains patient, staff, and departmental records, performs data entry, and prepares reports to support decision-making. The role updates medical documentation, assists with medical billing and insurance processing, and coordinates departmental projects, ensuring adherence to schedules and company standards.

Responsibilities:

* Displays excellent receptionist skills in greeting all customers including both internal and external. Answers phone and call light with proper phone etiquette, and sensitivity to the needs of the caller. Contacts staff immediately for patient care needs or assists with patient needs. Assists physicians as needed.
* Orders needed office supplies, or other supplies as needed for the areas utilizing Lawson, WebCRD, and Office Depot. Organizes nurses' station to keep records neat and well organized.
* Uses critical thinking skills and decision making skills to evaluate the workload in the nursing units and assign float personnel to area of greatest need. 
* Assist with daily staffing needs.
* Maintain schedule updates including inputs, trades, and vacation requests.
* Maintain and distribute reports including staffing, productivity, overtime, sitter reports.
* Maintains position control documents for assigned units.
* Verifies agency bills with schedules and compiles this information for reports if applicable.
* Assist in preparing reports as requested. 

Qualifications:

Education:

High School Diploma or Equivalent

Experience:

Experience with computers and ability to learn computer skills.  

Knowledge/Skills/Abilities:

Writes, reads, comprehends and speaks fluent English.

Microsoft Office - basic computer skills.

Critical thinking skills using independent judgment in making decisions. 

Ability to be flexible with hours and to work under pressure.

Highly discrete, able to routinely handle confidential materials.

Able to manage multiple priorities and assignments.
